TO:  Heads of organization units

SUBJECT:  Use of Smithsonian facilities for special events

1. PURPOSE. This revised memorandum provides guidance for:

. staff members and units requesting use of Smithsonian Institution auditoriums, meeting rooms, and other areas for special events

. persons and units responsible for approving, scheduling, and providing space and related services for Smithsonian Institution and outside group use

2. HIGHLIGHTS OF THE ENCLOSED GUIDELINES.

a. All facilities used for special events are subject to the policy and procedures outlined in this memorandum. Smithsonian facilities include rental space occupied by Smithsonian units in non-Smithsonian buildings.

b. Special events fall into one of three categories:

  .  Smithsonian-sponsored public events

  .  internal Smithsonian events

  .  events cosponsored or held in conjunction or cooperation with an outside organization

c. Officials authorized to approve the use of facilities for Smithsonian-sponsored and internal events are the Executive Assistant to The Secretary for the Smithsonian Institution Building, the Assistant Secretary for Museum Programs for the Arts and Industries Building, and the building directors (as indicated in the enclosed exhibit B) for areas under their jurisdiction.
