REPORT ON PORTRAIT OF AMERICA COMPETITION

1. 20,000 circulars were sent out by the Fifth Avenue Letter Shop to all artists in the Artist for Victory files, principal museums throughout the country, and some art critics. Also principal art dealers in New York. 
2. The contract with the Hayes Company has been signed and will be placed in the safe deposit box. 
3. The Metropolitan Museum has accepted in principle our proposal to hold the exhibition in their galleries. The final decision will depend on the quality of the entries. 
4. Received requests from the Cincinnati Museum of Art and the Albany Institute of History and Art to have our exhibition when it goes on tour. 
5. A telephone has been installed in the Portrait of America office that will also connect with the main Artists for Victory office. The number is MU5-9689. A special bank account has been opened with the Irving Trust Company. 643 entry postcards have been received and are on file. Approximately 500 circulars have been mailed or given out on request. In spite of the secretary's fractured wrist all work is completely up to date as she was able to obtain sufficient volunteer help. The date for sending in entry postcards is being changed on all the circulars from April first to April 21st to give artists on the Est coast sufficient time to enter after the Art magazines appear.
6. A special letter was sent to the art critics throughout the country by  [[the office of]] Miss Ruth  Maier. At the time she complained because some of the critics had already received circulars, and had given us space in their columns. These critics are in our master files as they were originally on the treasury list. 
7. The final definition of eligibility has been given in writing by Miss Maier and will be on file. It is to be interpreted in the broadest sense of the word. 
8. A list of museums in principal cities showing Pepsi-Cola's preference has been received. It contains about 20 names and 9 have been designated as first choice. 
10. Portrait of America Competition letter heads have been printed and are now in use. 
11. We are planning to send circulars to all the art galleries and dealers throughout the country. 
12. We plan to notify the jurors regarding the time of their services. 
13. A weekly report will be made to the Pepsi-Cola Company. 
14. Letters inviting prominent individuals to act as sponsors will shortly be sent out by Miss Maier's office.
