Dear Nell, 
We are very happy to see the increase in volume of requests for showing our artists' work in various exhibitions all over the country, and also the rapidly growing interest for sale of our artists' work.

In order to render the fastest and best possible service -- as well as to relieve the artis's burden of getting the right pictures to the gallery immediately when needed -- we must keep complete records of all paintings sold, lent out, or available.

Therefore, since we have to reconstruct past transactions from our memory of the last five years, we are asking for your cooperation in supplying us with the following information which will be catalogued on a card system as follows: 

1. Artist's name
2. Title of painting and year
3. Size
4. Medium
5. Value
6. Location

Whenever you deliver a painting to the gallery, for showing or otherwise, you should get a receipt so that there should be no future question about the gallery's responsibility for your paintings.

This catalogue system is being set up to cover not only all paintings of yours exhibited in the gallery but also work of any importance in your studio or loaned to friends. Thus, try to include this five-years accounting of your paintings everything which will provide the gallery with a complete index of your work. Please list the above six points on a separate sheet of paper for wach painting which will be transferred by us to the card system as soon as the information is received.
