Dear Mr. Latimer:

I have your letter of June 22, 1948.

Frankly, our Bookkeeping Department is confused about your bills.  At the Executive Board meeting, we were informed that all your bills were paid except the ones relating to tabulation and so reported to the Retirement Committee.  Since that time, we have received a bill from you in May which has been sent to the committee for its approval.

In your letter of June 22, you mention another bill dated March 4, 1948, in the amount of $631.40 which you state is unpaid.  The trouble is that the bills have not been coming in direct to our Bookkeeping Department at Headquarters, and have not stated in detail the time and character of work performed for which the bill is rendered.  Consequently, things have ended in a state of confusion and, in the final analysis, Headquarters has been blamed for not paying the bills promptly.  

Frankly, I think the best way to get this thing straightened out is for your to submit to Headquarters a complete review of the charges you have made thus far and what the charges were for in each case, including the time periods and work involved.  We will check this against our records and see if we can get everything straightened up.

In the future, I have told the committee that any bills relating to the pension matter should be sent directly to our Bookkeeping Department with a detailed statement of the period involved, a description of the work performed, and the days on which it was done.

Your early cooperation to get this matter squared away will be appreciated.

I am enclosing a check for $96.13 which will clean up the work of editing and coding.  

As soon as we get the rest of the information requested in this letter, we will proceed with bringing the matter up to date.
